SHOW INTERESTED IN VOLUNTUNTEERING FOR:

**PLEASE NOTE THAT YOU MUST BE 18 OR OLDER TO VOLUNTEER**

Also, note if you can work the day before the show as we often start setting up the day early to stuff bags, or put together the show, and always need help. Helping with the pre-show counts toward your total hours.

And, most importantly, which convention you're applying for. We run multiple shows a year, so we need to know which show to add you to!

Additionally, if you have experience in photography and would like to volunteer as a show photographer as well as provide your own camera please note that in your email as well.

Volunteer Assignments may include:

Registration, Artist Alley, Programming, Line Control, or Autograph Area. You will be assigned your position upon your arrival at the show by the volunteer coordinator.

These are the different areas of the convention explained:

PROGRAMMING – The Programming volunteers are in charge of the Panels/Panel rooms. They need to make sure the panels start on time by contacting the captains in the Autograph/Artist Alley area 45 minutes before each panel to let them know a particular guest/artist panel is coming up. They then need to follow up with the captains so that the guests/artists can be escorted to their panels 15 minutes prior to their panel’s start time. The Programming team is ultimately responsible for a guest that does not show up for his or her panel. Programming volunteers make sure the rooms are emptied after each panel and that the attendees for the following panel get in smoothly. Programming volunteers (subtly) let the panelists know when there is only 15 minutes left in the panel. This is usually done by holding up signs from the back of the room. They do this again at the 10 minute mark, the 5 minute mark, and cut the panel when the time is up. The list of all panels will be posted on the website on the Programming page, so be sure to take a look at it and familiarize yourself with the panels. They will also bring over the prizes for the Costume Contests.

Each morning, the Programming Volunteers will assist with line control in the Registration Area for attendees waiting to enter the show.

REGISTRATION – Registration volunteers are responsible for keeping the Registration Area flowing smoothly. This includes directing the attendees to the correct lines when they come in (Exhibitor/Artist/Guest/Professional/VIP Badge Pick Up, Advance/On-site/Student Tickets, etc.). Volunteers for Line Control work will be designated. Registration volunteers are also responsible for keeping bag racks full of giveaway bags at all times and refill the Program Guides and one-sheets when they run low in this area. Registration will be in charge of watching over the Volunteer/Storage Room, helping out at some of the ticket kiosks and may be asked to escort guests to the Autograph/Artist Alley area after they’ve checked in.

Attendees will begin showing up at 8/9AM and the doors open at 10AM on Saturday and Sunday. Our VIP ticket holders will be allowed on the floor FIRST (not early) when the doors open, followed by general ticket holders. Check the lines and make sure that everyone waiting in line has a wristband. If they don't, send them to the appropriate line to get one. No one will be able to access the show floor without a wristband.

Right before the doors open, we'll begin calling VIP ticket holders to work their way to the front of the line and they will be allowed in first. Once they're all in, we'll wait a few minutes and open the doors to the general ticket holders.

In the mornings, Line Control and Programming teams will work with Registration to manage the crowds and get everyone into the show before going back to their designated areas.

LINE CONTROL – Line Control controls the attendee lines. Wherever there may be an issue with a long line, Line Control will swoop in and keep it under control. They will be sent through Registration, Autograph Area, Artist Alley and Panel Rooms. Line Control goes everywhere. You’re responsible for making sure that lines don’t block the aisles, fire exits, or people’s booths. Sometimes you’ll have to cap a line, move the rest of it elsewhere and only bring people over in small numbers when the beginning of the line shortens. The show’s busiest day is Saturday, when we’re going to need A LOT of help controlling lines. Line Control will also supplement the regular Security at various entrances and exits checking wristbands and making sure that no one sneaks in.

NO WRISTBAND, NO ENTRY. Line Control is responsible for making sure that no one gets in without a wristband. There is a Gaming area that is free to enter (with or without a wristband), but access from the Gaming area into the convention is not permitted. They can purchase Comic Con tickets (and receive a wristband) at Gaming Registration to enter the show.

We will need one member of Line Control to sit outside the Green Room and make sure that only our Celeb Guests (with a “GUEST” wristband) enter the room. Any Volunteers caught in the Green Room will be removed from the show.

In the mornings, Line Control will work closely with Registration to sort the lines of attendees waiting for entry.

ARTIST ALLEY – Artist Alley volunteers will assist the artists in this area. You may have to sit at an Artist’s table while they take a break, escort them to the Panel rooms or take them to the Wizard Booth for special signings. You will control the smaller lines in this area and if the lines get too long, you can call in Line Control to assist.

AUTOGRAPH AREA – In the Autograph Area, tasks include assisting celebs by bringing them bottled water, occasionally sitting at their table while they take a break and escorting them to their panel when needed.

IMPORTANT THINGS TO KNOW ABOUT THE SHOW - Arrive 2 hours BEFORE the convention opens. The convention hours are posted on the Show Info Page.

The convention ends pretty late and we always need people to help close the convention. If you can stay late, please do.

Dress comfortably. You will be given ONE Volunteer t-shirt for the weekend so we recommend that you wear a shirt underneath it. Shorts or slacks are OK but please, no sandals. The place is going to be crowded and your feet will get stepped on.

ADDITIONAL INFORMATION - We don’t have specific signing times for our Media Guests. They sign all day (once they arrive at the show) unless they are on a panel, at a Photo Session, or on a break. The Media Guests usually charge for Autographs. This is not something that Wizard World has anything to do with. Attendees should be sure to ask about the price first, before getting their autograph.

Some guests will allow a photo to be taken of them solo or with the fan, some will not. Some will charge for it, some will not. Attendees will need to check with the Guest first before taking their picture.

Video cameras and still cameras are allowed at the convention. People may video and photograph anything they want so long as the person being taped does not object. They must ask permission of any Guest BEFORE they photograph or tape them.

If media requests an interview with a guest, they must first speak to Jerry Milani (PR Manager). We'll show you where Jerry can be found at the show office in the Registration area.

Children 10 and under are free all weekend at the show.

LOCATIONS - The show comprises multiple areas (these areas change from show to show depending on the configuration of the hall, but these are the basic set ups):

There’s the Registration Area – where people can buy their passes to the show. Registration Staff is in charge here. If you are assigned here, your duties will include checking people in, and placing wristbands on people, controlling lines, sorting people so they end up on the right lines, and making sure traffic flows in the right directions.

This is also where the Professional/Guest/Press/VIP passes are given out. If assigned here, you may be the one checking people in, handing out gift bags, assembling gift bags, putting wristbands on people, handing out VIP bags, putting together VIP bags.

The Main Floor – where the Autograph Area, Artist Alley and the Vendor area are (also called the Dealer’s Room). If assigned here, you may be responsible for escorting the guests to and from panels, and line control.

The Panel Rooms – If assigned here, your duties may include introducing speakers, calling down to the Main Floor to have guests escorted up, letting the panelists know how much time is left for the panels, setting up laptops and projectors for presentations, etc.

OTHER IMPORTANT AREAS – Photo Ops Booth – This is where fans can buy tickets to get their picture taken with their favorite celebrity.

For those who end up working on the Panel Floor – 1 hour before a panel, someone must call down to the Main Floor and confirm with the artist, media guest, etc. that they know about their panel. 20 minutes before a panel you will call down again to confirm that someone is escorting the guest up to the panel rooms. Do not assume that they are on their way. Always get a confirmation. Five minutes before a panel ends, enter the room and hold up your sign so the panelists see you and let them know that there are 5 minutes left.

WORK HOURS - You will be expected to work 8 hours minimum for a 2 day show and 10 hours minimum for a 3-4 day show. You can work it all one day, or part one day and part the next. You can also choose to stay and work all days at the show.

RADIOS - If you are assigned a radio, please remember that these are not toys. Please be professional on the radios. No joking, no cursing, no horsing around. Someone can be trying to call in with an emergency while you’re playing and will not be able to get through because of you.

ALWAYS BE PROFESSIONAL - You are representing Wizard World. We want everyone to leave here to feel like they had a great experience. It is essential that you are kind, courteous, knowledgeable, and professional at all times.

Also be sure to study the Guest Page so you know who is attending the show.

Feel free to contact me with any questions and I look forward to seeing you at the show!

Best,
